Terms and conditions for the 1940s Event


  1. Control of all trade and display stands for the duration of the 1940s weekend is in the hands of the Organisers, whose decisions are final and binding on all Traders and reenactor groups or individuals..


  1. All attendees must adhere to Mid Norfolk Railway site rules & reasonable instructions, including but not limited to no smoking or vaping on site, access arrangements, inductions, PPE requirements & safe systems of work. The Railway reserves the right to refuse site access to anyone who, unsafe or not following these terms and conditions.


  1. Where any attending party may interact with members of the public (including children) you must ensure that behaviour is professional at all times and follow the Railway’s safeguarding & conduct expectations.


  1. The Organisers have the right, without appeal, to resolve all cases which are not covered by this Information.


  1. Any persons or organisation failing to comply with any item within this Information or directions from the Organisers may be instructed to leave the Station and event site, without recompense.


  1. All trade stands on the Dereham platform can be dismantled on the Saturday evening. There may be security on the site however any tables/stock/effects left overnight are done so at your own risk. The MNR does not accept any liability or responsibility for items left on site overnight.


  1. Trade / display stands within either the Dereham Vintage Marquee or Wymondham event field may be left in position overnight, security may be onsite overnight however items are left at the stallholder’s / exhibitor’s risk. MNR does not take responsibility for any loss or damage to goods or equipment while on site.


  1. All camping stands must be secured against weather and are the sole responsibility of the stallholder / exhibitor, this includes the removal of all rubbish. There may be security on site overnight, however all camping / stalls / exhibits are left on site at your own risk. MNR does not take responsibility for any loss or damage to goods or equipment while on site.


  1. Stands within our marquees may be requested to move to facilitate use of the marquee in the event of poor weather.


  1. There are no guaranteed facilities provided for camping so all toilets, water and power must be self provided. Water and toilets are normally available at Wymondham Abbey & Dereham, however this is not guaranteed.


  1. Please leave your designated area/station clean and tidy before you leave each day. General Waste Bins are provided at Dereham & Wymondham Abbey. Any group or trader not clearing their area may be charged a clean-up fee or have it deducted from their fee.


  1. All trade / exhibitor stand set up must be completed by 09:30am on both days (Displays can setup from 1200hrs on the Friday 1st August at Wymondham or Dereham, however Dereham Station will be locked at 5pm.) and all vehicles moved to designated parking as directed. All Trade / exhibitor stands must remain on site until the event closes at 5.00pm each day unless given consent by Organiser.


  1. All exhibits / vehicles / trade stands must be cleared from all sites at the end of the event by 6pm on Sunday.


LIABILITIES


  1. The Organisers will not accept liability for loss or damage to any exhibits or trading items at any time, and Traders / exhibitors are advised to ensure that their exhibits/stock are insured for such loss or damage, including but not limited to risk of fire.

  2. Traders / exhibitors will be held responsible for loss or damage or injury to property (including other Traders / exhibitors) and persons, caused by them.

  3. The Organisers do not accept liability and will not be under any liability to Traders / exhibitors in respect of any direct or indirect damage, loss, or injury to persons or property arising out of or in any way connected with the Traders commercial or exhibitors displays. Public Liability Insurance is required for traders and exhibitors. The Organisers reserve the right to require or inspect a traders / exhibitor’s insurance at any time prior to or during the event. In no circumstances will Traders / exhibitors have any claim against the Organisers in the event of such damage, loss, or injury.

  4. Traders are strongly advised to take out insurance cover against the risk of this event being cancelled or postponed. In no circumstances will Traders / exhibitors have any claim against the Organisers in the event of such a cancellation or postponement of this event.

  5. Traders / exhibitors must comply with all U.K. Statutory Requirements and Regulations whilst participating in this event.

  6. Traders / exhibitors are responsible for the safety of the public on their sites, particularly for the safe demonstration of any working exhibits or displays and are responsible for the security of their exhibits and property.

  7. Where an exhibitor or trader has replica or decommissioned firearms / weapons on site, they may be requested to provide adequate evidence that the item is deactivated and poses no risk.


Locations

Your designated area will be advised to you in writing prior to the event. You will be located either in the display field next to the Abbey Halt station in Wymondham, or the display area at Dereham Station, please see the attached maps.

Dereham

  1. All displays must be set up for opening 0930.

  2. All private cars must be moved outside of the display area as directed by the Organiser or their representatives.

  3. Please book in with the Event Marshall so they can check you in and provide you with any passes. Passes and complimentary event tickets will be issued to a max 2 persons per vehicle or as deemed appropriate by the organisers and all participants must be in period dress or group clothing.


Yaxham

  1. All displays and personnel will be directed by the group leader and an onsite railway representative.

  2. While on site please be aware that this is private property and should be treated with respect and in accordance with the wishes and direction of the owners.


Wymondham 

  1. All displays must be set up for opening 0930.

  2. All private cars must be moved outside of the display area as directed by the Organiser or their representatives.

  3. Please book in with the Event Marshall so they can check you in and provide you with any passes. Passes and complimentary event tickets will be issued to a max 2 persons per vehicle or as appropriate by the organisers and all participants must be in period dress or group clothing.


Weapons and other activities 

  • The Police will have an Incident report for the event, this covers deactivated and replica weapons at the sites that are used by the event, it does not cover any areas outside of the event, so make sure any articles are covered up or locked away during transport.

  • Mid Norfolk Railway DOES NOT permit discharge of any weapons within the boundaries of the event at any time.

  • Sharp edged weapons can be on display during the weekend but must not be handled by members of the public at any time. 

  • Please act responsibly avoid situations that could be construed as inappropriate such as the display of certain insignia relating the Nazi Germany such as Swastika / SS flags and emblems (Wehrmacht / Luftwaffe insignia etc is permitted) or any behaviour that could bring the event into disrepute. Such issues will result in immediate removal from the event.
